Work a job

Open a job to see it at a glance, call or text the customer, take payments, and tap Edit to change its details.

Tap any job card to open it. The job number and status show at the top, with ‹ Jobs above them to go back to the list.

The job at a glance

The first card shows the job as plain text, so it's easy to read on site:

  • The job name and description.
  • Customer: their name and phone. Tap the name to open their customer page.
  • Call, Text, and Directions. A button only shows when the job has what it needs. See Call, text, and directions.
  • Address, Site notes, Price, and Visit (with the day, if you set one). A line with nothing in it is left out.
  • Assigned to, when your business has two or more people.

On a computer, the job opens next to your jobs list in two columns: the job, its next step, and payments on the left; texts, checklist, photos, visits, and parts on the right. A job you click on the Customers page opens in a popup with everything below in one column. Click Close to go back to the list.

Change the job

Tap Edit on the first card. The job's details open on their own screen, in three cards: Details, Address, and Visit.

Field What it's for
Job Name A short name you'll recognize on the list.
Status Where the job stands. See Job statuses.
Assigned to Who's on it. See below.
Description The details.
Price What the job pays. See Price, Unpaid, and Paid.
Street, Unit, City, State, ZIP Where the job is.
Site notes Gate codes, pets, parking.
Visit and Next visit or Day When you're going. See Weekly and monthly visits.

Change what you need, then tap Save at the bottom. The screen closes and you'll see Saved at the top of the job. The Save button stays gray until you change something.

Assigned to

When your business has two or more people, the job page shows Assigned to. Tap Edit, pick a person or Unassigned, then tap Save.

  • Their first name shows on the job card.
  • Each person can tap Mine on the Jobs list to see their open jobs.
  • One person per job.

Helpers are added in Settings. See Add a helper.

The rest of the job page

Below the first card, each part of the job has a small label above it. From top to bottom:

  • The next step, when there is one: Approve on a request, Complete visit and Skip visit on weekly and monthly jobs, or Follow-up once the job is Complete. See Weekly and monthly visits and below.
  • Payments: Balance due, Mark as paid, Record payment, Undo last payment, and Invoice, once the job has a price. See Price, Unpaid, and Paid.
  • Text buttons with ready-made messages. See Call, text, and directions.
  • Checklist, the steps to do on the job. See below.
  • Photos. See Job photos.
  • Visits, the list of past visits on weekly and monthly jobs.
  • Used on this job, with Add used item, when the Parts setting is on. See Parts used on a job.

Checklist

Checklist holds the steps for this job, like "Clean filter" or "Check chlorine". It's there so nothing gets missed on site, and so a helper knows what to do.

  1. Type a step in Add a step and tap Add. Add as many as you need, up to 30.
  2. Tap a step when it's done. It gets a check and a line through it. Tap again to undo.
  3. Tap the X next to a step to remove it.

If your business picked a trade like lawn, pool, or heating and air, an empty checklist shows Add suggested steps. Tap it to fill in the usual steps for that work, then change or remove any you don't need.

Each tap saves right away. On a weekly or monthly job, the checks clear when you tap Complete visit, so the list is fresh for the next visit. Skip visit leaves them. See Weekly and monthly visits.

Follow-up

On a Complete job, Follow-up lets you pick a day to reach out about more work: a tune-up, a filter change, next season's cleanup.

  1. Tap In 3 months, In 6 months, or In 1 year.
  2. On that day the job shows on Today, marked Follow-up with the date.
  3. Open it and tap Follow-up under Text to send "It's been a while since the job. Want me to get you on the schedule?" See Call, text, and directions.
  4. If they want the work, tap New job for Dana. It opens Create job with them and their address filled in.
  5. Tap Done to take it off Today.

Tap Clear to drop a day you set by mistake. Nothing is sent on its own.

Change the customer's name or phone

The customer's name, phone, email, and notes live on the customer, not the job. Edit them on the Customers tab. See Edit a customer.

Delete a job

Jobs aren't deleted. Tap Edit and set the status to Cancelled instead. It moves to the Done list and keeps its history, so you can reopen it if they call back.
