Price, Unpaid, and Paid
Put one price on a job, take a deposit or part payment, send an invoice or receipt, see who owes you on the Unpaid list, and mark jobs paid.
Each job can carry one price. It's your own bookkeeping, so you always know who still owes you. Barton Forge doesn't charge the customer's card or send anything on its own. When a customer needs a bill on paper, tap Invoice and send it from your phone.
Add a price
- Open the job.
- Tap Edit.
- Type the amount in Price, like
125or125.50. A$and commas are fine. - Tap Save.
The price shows on the job card. A price of 0 means no charge, and the job never shows as owed.
On a job that repeats every week, two weeks, or month, the price is per visit: each Complete visit adds it to what's owed. See Weekly and monthly visits.
See who owes you
On Jobs, tap the Unpaid filter. It lists every job that is:
- Complete (or repeats and has visits marked Complete visit),
- has a price above 0, and
- isn't paid in full.
Unpaid jobs show what's left on their card and how long it's been owed, like Balance due $125 · 12 days. The oldest are at the top, so you know who to chase first, and Total due above the list adds them all up. Cancelled jobs are never owed.
Send a reminder
On a job that's owed, the Text buttons include Payment reminder. It opens your Messages app with the words filled in, like Hi Dana, a friendly reminder that $125 is still due for the fence repair. Thanks, your business, plus your Pay here: line if you set one. You read it and hit send. Barton Forge doesn't send reminders on its own.
Reminding a few people at once? Open Jobs, tap Unpaid, and tap the text button (the chat bubble) on each card. On this list it opens the same Payment reminder, already written, so you can work down the list one tap at a time without opening each job. It goes out in that customer's Text language.
Send an invoice
Some customers need a bill before they pay, like a property manager, an office, or a homeowner who wants a record for a warranty. Make one from the job in a few seconds.
- Open the job.
- Under Payments, tap Invoice.
- Check what it says, like Balance due $500.
- Tap Send. Your phone's share sheet opens. Pick Messages, Mail, AirDrop, Save to Files, or Print.
- Once it goes, the invoice says Sent at 4:12 PM and the button turns into Send again. Use it only if the customer needs another copy.
On a computer, tap Download instead and attach the PDF to an email.
Chasing a few unpaid jobs at once? Open Jobs, tap Unpaid, and tap the invoice button (the receipt icon) on a card. It opens the same invoice without opening the job.
The invoice is a one-page PDF with:
- Your business name, plus the phone, email, address, and license number you put in Invoice details.
- The job number as the invoice number, like J-12, and today's date.
- The customer's name, phone, email, and the job address.
- The job name. On a job that repeats, each completed visit with its date and price.
- Parts used on the job, by name and quantity, marked Included in the price. Turn off Show parts used before you send to leave them off. See Parts used on a job.
- The total, each payment you recorded, and the Balance due.
- Your Pay here line from How customers pay you.
It comes out in the customer's text language, English or Spanish, like the ready-made texts.
Once the job is paid in full, the button says Receipt and the PDF is a receipt marked PAID. Send it as proof of payment.
Barton Forge doesn't keep a copy or send it for you. Each tap makes a fresh one from the job as it is now, so if a payment comes in later, make a new one. If you have QuickBooks connected, the invoice there has the same number. See What gets sent to QuickBooks.
Mark a job paid
- Open the job.
- Under Payments, the job shows Balance due $125.
- Tap Mark as paid.
The card now shows the price and Paid with today's date, and the job leaves the Unpaid list.
Marked it paid by mistake? Tap Undo last payment. See Fix a wrong payment.
Take a deposit or part payment
Got some of the money, but not all of it?
- Open the job.
- Tap Record payment.
- Type the amount, like
300. - Tap Save payment.
The job now shows what's left, like Balance due $500, with $300 of $800 paid under it. Tap Record payment again for the next part. When the rest comes in, tap Mark as paid and it records whatever is left.
After any payment, the Text buttons include Payment received, so the customer has a note that you got their money and what's still owed. See Ready-made texts.
Fix a wrong payment
Tapped the wrong button or typed the wrong amount? Tap Undo last payment. It takes back only the latest payment and leaves the ones before it alone.
Say you took a $300 deposit, then tapped Mark as paid by mistake. Undo last payment takes back the $500 and the job shows Balance due $500 with $300 of $800 paid again. Tap it again to take back the $300 too.
Text the price
Once a job has a saved price, the Text buttons on the job include Price, which sends the customer the amount. See Call, text, and directions.
While the job isn't paid in full, the Price text can also tell the customer how to pay you, like your Venmo or a Square link. Set it once in Settings. See How customers pay you.
After a deposit, the Price text also says what came in and what's left, like Paid so far: $300. Left to pay: $500.
